AI for recruitment agencies: more time on the phone, less on everything else.

Your consultants make money on the phone with clients and candidates. Everything else, the planning, the research, the remembering and the reporting, eats into that time. We build a system around how your desk actually works that takes those jobs off their plate, so they spend more of the week doing what makes placements. It starts with a free AI What If call.

The short answer

For a recruitment firm, AI pays when it gives your consultants more selling time and gives you a clear view of what's driving the numbers. We build it in parts, starting with the one that pays back first: a daily plan for each consultant, call coaching, BD research, contract-end flags, and a manager view on top. For UK firms of 5 to 100 staff, built around your CRM, your calls and your niche.

What we build for recruitment agencies

A daily plan for every consultant

Each morning, every consultant sees what to do today: the calls that matter, the follow-ups due, the clients and candidates that have gone quiet, drawn from your CRM and their own calls. Nobody starts the day working out where to start.

Call coaching

Calls are reviewed so each consultant gets a few specific things to do better: the pain they didn't dig into on a job spec, the counter-offer they didn't test early. Shared as a weekly top three across the team, so it reads as a way to improve, not a telling-off. The notes from each call are written up and put into your CRM as well, so nobody types them up at 5pm.

BD research

Your target clients researched into a short, prioritised list with the reason to call now, so consultants spend their BD time on conversations rather than on searching. The messages stay theirs to write.

Contract-end flags

Every contractor finishing in the next few weeks is flagged to the consultant in time to talk extension or the next role. An extension is margin already sold, with no new BD cost. Bullhorn's survey of over 2,400 contingent workers found 85% loyalty when the recruiter offers the next role before the assignment ends, against 58% when they don't.

A manager's view

The handful of levers you actually run the business on, in one place each morning: meetings booked, jobs and interviews, placements, contractors out, invoices raised, and who is ahead or behind. Read-only, so it's quick to set up and safe to run.

How it works

  1. A free AI What If call. We go through how your desk works today, where your consultants' time goes, and which tools and CRM you run, and we find the part that would pay back first.
  2. See it on your desk. We show you what that part would look like for your firm before you spend anything.
  3. Build it. A fixed price, agreed up front, delivered in short stages so you see it working early.
  4. Add the next part, or run it yourselves. Move on to the next part, or we train someone in your team to run and extend it.

Works with your CRM and the tools you already pay for

We don't ask you to change your CRM. Some, like Bullhorn and Vincere, limit outside access, so we tell you on the AI What If call exactly how we'd get the data before you commit. And we never automate inside a paid tool in a way that breaks its terms or puts your account at risk.

Your data stays in your systems

Everything we build keeps client and candidate data in your own systems, handled to the UK GDPR standard you already work to. Nothing is sold on, nothing trains anything outside your business, and you can switch any part off. We work on the sales side, so we're not screening or ranking candidates. More detail in our guide to AI and candidate data protection.

Questions recruitment agency owners ask

How can AI help a recruitment agency?

By giving your consultants more time on the phone with clients and candidates. It plans each consultant's day, researches their BD targets, flags contracts coming to an end, reviews calls so people improve week by week, and gives you one view of the levers that matter. Your consultants still win the clients and close the offers.

Which AI is used for recruitment?

Most tools on the market sit on sourcing, outreach and job ads, and a lot of that is already inside the CRM you pay for. We build around how your desk actually works, from your own CRM, calls and history, so it fits your niche rather than a generic one.

Will it work with our CRM?

Yes, though how depends on the CRM. Some, like Bullhorn and Vincere, limit outside access, so we tell you on the AI What If call exactly how we'd get the data before you commit. Often the cleanest route is for someone on your team to own the connection, and we train them to run it.

Is it safe for candidate and client data?

Everything stays in your own systems, handled to the UK GDPR standard you already work to. Nothing is sold on, nothing trains anything outside your business, and you can switch any part off. We stay on the sales side, so we're not screening or ranking candidates.

Will AI replace our recruiters?

No. It takes the admin, the research and the remembering off their plate, so they spend more of the week on the phone doing the work that makes placements.

How much does it cost?

Each part is a fixed price, agreed after the free AI What If call, and you start with the one that pays back first. If it isn't worth building for your firm, we tell you on the call.

Who is it for?

Owners and directors of UK recruitment firms of roughly 5 to 100 staff, perm, contract or both, who want more from the team they already have.
